The** Immunizations** section allows you to manage vaccine requirements and dose schedules for your organization. These settings define how immunization compliance is tracked for all students in your system.
To access Immunizations:
- Go to Settings
- Select Immunizations
Important Before You Begin
Butterfli includes** preloaded vaccine examples** to help you get started.
However, immunization requirements vary by region, province/state, and licensing authority.
Best practice:
Review and update all vaccines and dose schedules to ensure they align with the requirements in your jurisdiction.
System-Wide Impact
Immunization settings apply to **all students **in your system, including:
- Newly enrolled students
- Existing students
Important:
If you update a vaccine or dose schedule,** existing student records are not retroactively updated. **Changes apply only to future tracking and new records.
Add a New Vaccine
To create a new vaccine:
- Click Add Vaccine in the top-right corner of the Immunizations page
- Complete the fields in the Add Vaccine window, as outlined below
Vaccine Name:
Enter the full name of the vaccine.
Example:
DTaP – Diphtheria, Tetanus, acellular Pertussis
Use clear, standardized naming so vaccine records are easy to understand and audit.
Required Vaccine:
Select Required if the vaccine is mandatory for enrollment at your school.
If unchecked, the vaccine will be tracked but not enforced as a requirement.
Scheduling Doses
Each vaccine can have **one or multiple doses, **depending on your requirements.
You can add additional doses by clicking** Add Dose.**
Each dose must be scheduled using one of the following options:
Due at Age:
The dose becomes due when the student reaches a specific age.
Example: Dose 1 is due at 2 months of age.
**Important: **
For this option to work correctly, student birthdates must be entered and accurate.
Due Within (Enrollment-Based):
The dose is due within a specified number of days after a student enrolls.
**Example: **Dose is due within 30 days of enrollment.
This option is useful when immunizations are required shortly after admission, regardless of age.
Due In (Relative to First Dose):
(Not available for Dose 1)
The dose is due a specified amount of time after the** previous dose.**
You can define the interval in:
- Days
- Weeks
- Months
- Years
**Example: **Dose 2 is due 6 months after Dose 1.
Fixed Every Year:
The dose is due on the same calendar date every year, regardless of enrollment date or age.
Example: An annual vaccine due every year on September 1.
Best practices:
- Confirm immunization requirements with your local health authority
- Ensure birthdates are accurate before using age-based schedules
- Document your vaccine logic internally for staff reference
- Review schedules annually to stay aligned with regulatory changes
