HelpGuides

Tags allow you to quickly label, group, and identify students across the system. They can be used for operational needs such as extended care, allergies, program participation, or internal tracking.

Tags are managed at two levels:

  • **Student-level tags **(applied to individual students)
  • System-wide tags (available for use across all students)

Add or Edit Tags for a Student

To add or update tags for an individual student:

  1. Go to Students
  2. Select** Directory**
  3. Locate the student you want to update
  4. In the Actions column, click the three dots
  5. Select** Edit Tags**

An Edit Student Tags window will appear.

Current Tags

At the top of the window, you will see all tags currently assigned to the student.

You can remove an existing tag by clicking the × next to the tag name.

Add or Search Tags

To add a tag:

  • Begin typing in the Search or enter new tag field
  • Select an existing tag from the list, or
  • If the tag does not exist, continue typing and click Add to create a new tag

The newly added tag will be applied to the student once you save.

Click **Save Tags **to confirm your changes.

Manage All Tags (System-Wide)

If you need to edit or delete tags across the entire system, click **Manage All Tags **in the Edit Student Tags window.

This opens the system-wide tag management view, where you can:

  • Rename existing tags
  • Delete tags entirely

Important Warning

Deleting a system-wide tag will:

  • Remove the tag from all students
  • Permanently delete the tag from the system

**Deleted tags cannot be restored. **Only delete tags if you are certain they are no longer needed.

Important Note

  • Use consistent naming conventions for tags (e.g., “Extended Care” instead of multiple variations)
  • Avoid creating duplicate tags with similar meanings
  • Limit system-wide tag deletion to administrators
  • Document internal tag usage so staff apply them consistently
