Programs define** how students are grouped and transitioned** in Butterfli. Setting them up correctly is essential, as program details drive enrollment eligibility, classroom capacity, and automated transitions.

To add a new program:

1. From the navigation menu, select Program List
2. Click **Add Program **in the top-right corner
3. Complete the fields in the Add New Program window, as outlined below

Program Name

Enter a clear and descriptive program name.

Programs in Butterfli represent your school’s offerings, such as:

• Infant Program
• Toddler Program
• Casa Program
• Lower Elementary Program
• Upper Elementary Program
• Adolescent Program
• Skating Program
• STEM Program

Best practice:

Include the school year in the program name to keep historical and future programs clearly organized. This is important because it will help with enrollment.

Casa Program 2027/2028

Rule:

You must use unique program names.

Program Period (Start Date & End Date)

Set the start and end dates for the program.

Program dates define:

• When students are considered active in the program
• When transitions and graduations occur

Common examples:

• Toddler programs often run from September to August
• Casa programs typically run from September to June
• Elementary programs typically run from September to June

Ensure the dates accurately reflect how your school operates. Correct dates are critical for capacity tracking and transition timing.

Transition Type

The transition type tells the system **how and when students become eligible **to move into this program.

**Mid-Year Transition:**Choose this option if students can transition into the program as soon as they reach a required age, regardless of the school calendar.

Example:

Students move into Casa as soon as they turn 2 years and 6 months, even if this occurs mid-year.

**Beginning-of-Year Transition:**Choose this option if students are eligible only if they meet the minimum age on or before December 31 of the school year.

**Example:  **

A Grade 1 program where students must be 6 years old on or before December 31 to start in September.

Program Type

The program type determines** how students can be enrolled.**

Standard Program:

• Select this for a student’s primary program.
• Students can only be enrolled in one standard program at a time.

Typical examples:

• Infant
• Toddler
• Casa
• Elementary / Grade programs

Add-On Program:

Select this for supplementary programs that students can attend in addition to their standard program.

Typical examples:

• Extended care
• Extracurricular activities
• Enrichment or STEM programs

Age Range

Define the minimum and maximum age allowed for the program.

Age ranges are used by the system to:

• Determine program eligibility
• Automatically identify upcoming transitions
• Support accurate classroom planning

Example:

A Casa program may have:

• Minimum age: 2 years, 6 months
• Maximum age: 6 years, 0 months

Enter both the years and months accurately to ensure correct transition behavior.

Important Note 

Once a student has been added to a program, program details can no longer be edited.

This protects data integrity for:

• Historical enrollments
• Capacity reporting
• Transition records

Before creating a program, confirm:

• Dates are correct
• Transition type reflects your school policy
• Age range aligns with licensing and educational requirements
